Program & Lesson Policy.
A) Program Registration
All program registrations other than private lessons will occur through your online club account, accessible through our website www.ancastertennis.ca
Members can sign-up for programs on the sign-up date listed for each program.
Non-Members can also sign up for programs after members have had reasonable time to sign-up. They must also pay a surcharge included in the price listed to participate at an Ancaster Tennis Club.
Programs that require an evaluation (Adult) or approval (Junior) can only be registered for after a player has been evaluated or approved by the Pro.
Program Registration, other than Adult Play Programs, closes 3 days in advance of program start date not including the start date. For example, if a program starts Monday, May 17th, the last date to sign-up is Sunday, May 14th.
Program Registration for Adult Play Programs closes 3 days in advance of the program start date, i.e. May 14th for a May 17th start date.
Members/Non-Members may be able to sign up for programs within 3 days if there are spots open. They must send an email to inquire.
B) Insufficient Registration
Head Pro reserves the right to cancel programs due to insufficient registration.
In this case the participant can either i) use paid sum for credit towards a future program or ii) ask for a full refund.
C) Program Withdrawal and Refund
Participants will be refunded for the entire session less a 15% admin fee if they withdraw registration more than 8 days in advance i.e., on May 22nd for a May 31st program start date.
If withdrawn less than 8 days in advance no refund or credit will be given.
D) Program Inclement Weather Cancellation
Every program has a rain date or rain week scheduled.
If 50% of the class time is completed then no credit will be issued for that class.
Pros will inform players via email 1 hr in advance of a class if it is cancelled due to inclement weather conditions.
E) Cancellation Due To Construction Or Unforeseen Circumstances (Pandemic)
Club credit will be transferred into your account to the amount of the classes affected by such circumstances, to be used at the club in the future.
Or current program registration can be deferred to a future program.
E) Illness or Injury
If you are not able to attend due to illness and injury and aren’t able to attend the program, a written request must be received by the Head Pro with a doctor’s note requesting Club Credit for future use before the end of the Program Session.
F) Private/Semi-Private/Groups of 3 and 4 Lessons
If cancelled by the member MORE than 48 hours in advance a full refund will be given.
If cancelled within 48 hours of lesson no refund will be granted.
If 15 to 30 minutes of a lesson are completed before conditions become unplayable due to rain a 50% refund of the lesson fee will be granted.
If over 30 mins of a lesson are completed before conditions become unplayable due to rain the full lesson fee is due.
The pro will contact their lesson 1 hour in advance of the lesson if it is cancelled due to inclement weather
The pro is responsible for collecting their lesson fee using a mode decided between player and pro.
